*General Job Description: *
Under general direction, process monthly payrolls, assist employees with benefit processes, and oversee employee leave request systems. Oversees district record archives and plan.

*Essential Duties and Responsibilities: *

* Assist with all duties related to payroll and benefits, as assigned.
* Monitor employee leave entries and calculate pay docks.
* Enter new employees into payroll system, including contract dates, W-4 accuracy, and all mandatory deductions.
* Process timesheets for payroll, including verification of contract hours against timesheets, calculation of hours to pay, balance deductions, and data input.
* Maintain the financial software to ensure compliance and accuracy.
* Oversee benefits enrollment for new employees and open enrollment for all other employees.
* Run payrolls each pay period including direct deposit requirements, tax deposits, printing and distributing checks to employees.
* Reconcile and pay monthly insurance billing and perform all other required benefit/deduction duties.
* Collaborate with Human Resources office for Family Medical Leave Act (FMLA) and Worker's Comp (W/C) processing, especially as it pertains to employee leave.
* Address questions from employees relative to payroll and benefits.
* Coordinate the response to disposition notifications (destruction and transfer to archives).
* Identify all records storage locations and work to move inactive records into digital archives.
* Coordinate with third-party vendors, as needed, to assist with imaging processes and management.
* Establish and maintain a centralized tracking system for BPS storage containers (including the containers' indices, metadata, and locators) and the disposition of records.
* Disseminate information on any litigation, a discover order, subpoena, government investigation, or audit.
* Ensure staff are adequately trained on proper records management practices.
* Advise on the development of policies and procedures pertaining to records management issues (i.e. handling confidential materials, new hire orientation, email management, disposition of records when an employee leaves the agency, metadata development, etc.)
* Handle Public Records Requests, as assigned. Communicate on critical deadlines.
* Oversee imaging to ensure that all requirements of 1.14.2 NMAC that pertain to school districts are followed.
* Coordinate destruction of records in accordance with the applicable requirements of 1.14.2 NMAC.
* Oversee centralized imaging software interface (Laser Fiche or similar) and manage user privileges to ensure compliance with FERPA and HIPAA.
* Archive supervisor-submitted interview documents and review processes to ensure compliance with EEOC requirements.
* Annually send out reminders regarding Mandatory videos; track video forms; send reminders about missing forms and videos.
* Complete other tasks as deemed appropriate by the immediate supervisor and/or the superintendent.

*Qualifications: *

Associate's Degree or higher in Accounting, Business Administration, Finance or related field preferred.

Two years' experience in accounting or payroll.

Ability to pass a background check.
